Osortoo allows you to export all collected comments and participants into an Excel file.
The export helps you analyze entries, verify participants manually, keep contest records, or use the data for audits and reports.
Below are the steps and important details to know when exporting comments.
1. How to export comments to Excel
Step 1 — Open your giveaway project
Log in to Osortoo and select the giveaway from which you want to export comments.
Step 2 — Apply filters (optional)
If you want your export to include only eligible participants, apply your filters first:
- remove duplicate users
- keyword filters
- tag requirements
- date/time filters
- blacklist users
The export will follow the filtered list.
Step 3 — Click Export
Inside your participant list or results page, click Export to Excel.
Osortoo will generate a downloadable .xlsx file.
Step 4 — Download your file
The export begins immediately.
If you’re on a paid plan, the file downloads automatically.
2. What the Excel file contains
Your export includes the participant data that each platform allows Osortoo to retrieve.
Typical columns include:
- Username
- Comment text
- Number of mentions
- Timestamp of the comment
- Platform (Facebook / Instagram / YouTube / Manual)
- User ID (when allowed by the API)
Depending on the platform, some data fields may vary.
3. Why the number of exported comments may differ
Your export may show fewer comments than the number visible on the platform.
This happens because:
- replies may not be included
- private/restricted users cannot be exported
- deleted or hidden comments still appear in platform counts
- held-for-review or filtered comments cannot be accessed
- Instagram sometimes delays new comments in the API
- Facebook and YouTube restrict access to certain comment types
This is normal and explained in detail in your “Why exported comments are fewer than Instagram” article.
4. Platform-specific limitations
- Cannot export replies in some cases
- Private account comments may not appear
- Restricted or filtered comments are hidden
- Only Professional accounts are supported
- Only public Page posts are eligible
- Personal profile comments cannot be exported
- Hidden, restricted, or spam-filtered comments are excluded
YouTube
- Only comments from Public videos appear
- “Made for Kids” videos cannot export comments
- Comments held for review cannot be retrieved
5. Exporting multiple platforms together
If your giveaway has participants from several platforms, the export includes all of them.
The file will include a Platform column so you can see where each participant comes from.
Example:
- Facebook comments
- Instagram comments
- YouTube comments
- Manual entries
All appear in one combined Excel file.
6. Troubleshooting Excel exports
If the export does not download:
- disable ad blockers
- enable pop-ups for Osortoo
- try an incognito window
- try another browser (Chrome recommended)
If the file is empty:
- verify that comments were imported
- remove excessive filters
- refresh the project
- check platform-specific limitations
